We are currently seeking a highly organized and proactive HR & Administrative Manager to lead our human resources and administrative operations, ensuring smooth coordination between our corporate departments and project sites.


Position Overview


The HR & Administrative Manager will oversee the full spectrum of human resources and administrative activities across the organization. This includes recruitment, onboarding, personnel management, policy development, logistics coordination, and offboarding.

The role requires an individual who can combine strategic HR management with practical, hands-on administration — ensuring that all company procedures and employee-related matters are handled efficiently, in compliance with legal and company standards.


Key Responsibilities


1. Recruitment & Onboarding

  • Manage the complete recruitment cycle — from drafting job descriptions and screening candidates to conducting interviews and issuing offers.

  • Develop and maintain salary structures, grading systems, and benefits policies.

  • Coordinate with Project Managers to identify manpower needs and plan mobilizations.

  • Organize and oversee all onboarding procedures, including:
    Employment contract preparation and collection of necessary documentation.
    Coordination with Accounting for payroll setup.
    IT account creation and equipment allocation.
    Accommodation and travel arrangements for mobilized personnel.

  • Ensure new employees receive and sign PPE, tools, and equipment handout forms, maintaining accurate inventory records.

2. HR Administration & Personnel Management

  • Act as the primary contact for all employee-related communications, requests, and concerns.

  • Maintain up-to-date personnel files, HR records, and databases (contracts, certificates, attendance, medicals, etc.).

  • Conduct performance evaluations, salary reviews, and handle disciplinary or grievance procedures when necessary.

  • Support managers in employee development and retention initiatives.

  • Ensure compliance with labor laws, collective agreements, and company HR policies.

  • Coordinate with project administration regarding attendance, absences, and site rotations.

3. Policies, Procedures & Compliance

  • Develop, implement, and regularly update HR policies, procedures, and internal workflows.

  • Ensure all departments (HR, Accounting, IT, Operations) follow standardized administrative processes.

  • Monitor compliance with internal and external requirements, including safety, training, and documentation standards.

  • Prepare HR reports and analytics for management.

4. Logistics & Employee Support

  • Oversee personnel accommodation (apartments, hotels, etc.) and ensure suitable living conditions for staff.

  • Manage travel logistics for mobilizations, demobilizations, and international assignments.

  • Handle practical issues related to employee welfare, relocation, and daily support needs.

  • Liaise with suppliers and service providers for accommodation, transport, and other employee-related services.

5. Offboarding & Equipment Management

  • Manage the offboarding process for employees completing or terminating their contracts:
    Conduct exit interviews and finalize administrative clearance.
    Ensure the return and verification of PPE, tools, and equipment.
    Coordinate final payments, documentation, and deactivation of system access.

  • Maintain clear records of equipment issuance and return, ensuring full accountability.

  • Collect feedback from departing employees to improve HR procedures and retention strategies.


Qualifications & Requirements


  • Bachelor’s degree in Human Resources, Business Administration, or related field (Master’s degree preferred).

  • Minimum 5 years of experience in a similar HR or administrative management role, ideally in the construction, engineering, or industrial sector.

  • Strong knowledge of Greek labor law and HR best practices.

  • Excellent organizational, communication, and leadership skills.

  • High attention to detail and ability to handle multiple priorities.

  • Proficiency in MS Office and HR management software (ERP/HRIS experience preferred).

  • Excellent command of Greek and English (both written and spoken).

  • Flexibility to travel occasionally to project sites in Greece and abroad.
